NEWHOUSE Quorum is a tool for tracking attendance and quorum during faculty governance meetings, timing meeting agendas, and launching faculty votes. This notice explains what information the tool uses and how.
The tool does not collect email addresses, phone numbers, Social Security numbers, grades, financial information, health information, or any student records. It does not track location, and it does not use advertising or third-party analytics trackers.
Information is used only to run faculty meetings: to confirm whether a quorum is present, to display attendance to the chair and faculty secretary, to time the agenda, and to conduct votes. It is not sold, rented, or used for any commercial purpose.
Roster and attendance information is stored in a database hosted by Supabase, and the tool itself is hosted by Netlify. Access to change roster or attendance data is limited; the roster cannot be edited through the public app. Voting is conducted through Poll Everywhere using a Newhouse account, and any voting responses are handled by Poll Everywhere under its own privacy policy and the University’s agreement with that service.
Attendance is intended to be cleared and reset for each meeting rather than kept as a long-term record, so the tool does not build an ongoing history of individual attendance over time. The faculty roster is maintained for as long as the tool is in use.
The faculty roster (already public) can be read by anyone using the check-in tool. Attendance status is shown to the meeting chair and the faculty secretary during meetings. The chair and secretary views are reached through unlisted links rather than individual logins.
If you have questions about this tool, want to know what information is associated with you, or wish to raise a concern, contact the Newhouse Faculty Council chair.
This notice may be updated as the tool changes. The “last updated” date above reflects the most recent revision.
